These Terms & Conditions govern the use of the facilities, services, memberships, court bookings, coaching sessions, leagues, tournaments, social events and other activities provided by Ultimate Padel Clubs Ltd (“Ultimate Padel”, “we”, “us” or “our”).

By creating an account, making a booking, purchasing a membership or using the facilities at Ultimate Padel, you agree to these Terms & Conditions.

1. Court Bookings

1.1 Booking courts

  • All court bookings are made through the Ultimate Padel booking app.
  • A booking is confirmed once the booking has been successfully completed and payment has been received.
  • The person making the booking is responsible for ensuring that all players attending the booking comply with these Terms & Conditions and the Ultimate Padel Club Rules.

1.2 Maximum number of players

  • A maximum of four players may play on a court during a standard court booking.
  • Customers must not exceed the maximum permitted number of players.

1.3 Booking times

  • Customers should arrive in sufficient time to begin their session promptly.
  • Court bookings finish at the time stated on the booking. Players must leave the court at the end of their allocated time so that the next booking can begin on time.
  • Late arrival does not extend the booked session and does not entitle the customer to a refund or additional court time.

2. Cancellations and Refunds

2.1 Court bookings

  • Court bookings may be cancelled up to 48 hours before the scheduled start time.
  • Where a booking is cancelled at least 48 hours before the scheduled start time, the customer will receive a full refund to the original payment method.
  • Cancellations made less than 48 hours before the scheduled start time will not normally be eligible for a refund.

2.2 Coaching and activities

The same 48-hour cancellation policy applies to coaching sessions and organised activities, including:

  • Coaching sessions
  • Courses
  • Leagues
  • Tournaments
  • Social events
  • Mix-ins
  • Group sessions
  • Other organised activities
  • Where a booking is cancelled at least 48 hours before the scheduled start time, a full refund will be issued to the original payment method.
  • Bookings cancelled less than 48 hours before the scheduled start time will not normally be eligible for a refund.

2.3 No-shows

  • Failure to attend a booking without cancelling within the applicable cancellation period will be treated as a late cancellation and will not normally be eligible for a refund.
  • Repeated failure to attend bookings without cancelling may affect a customer's ability to make future bookings.
  • Where a customer repeatedly fails to attend bookings, Ultimate Padel reserves the right to restrict or suspend their ability to make bookings, require them not to return to the club, or, where applicable, suspend or terminate their membership.
  • Any such action will be considered in light of the circumstances and the frequency of the no-shows.

2.4 Cancellations by Ultimate Padel

Ultimate Padel reserves the right to cancel, reschedule or alter court bookings, coaching sessions or other activities where reasonably necessary for the operation of the club.

This may include, but is not limited to:

  • Tournaments, leagues or other organised events
  • Private or corporate events
  • Club competitions or activities
  • Maintenance, repairs or improvements
  • Court or facility issues
  • Health and safety concerns
  • Power failure
  • Extreme weather
  • Other circumstances outside our reasonable control
  • Where Ultimate Padel cancels a booking or activity, affected customers will be offered an appropriate alternative arrangement or a full refund to the original payment method, as applicable.
  • We will endeavour to provide as much notice as reasonably practicable when cancelling or changing a booking.

3. Memberships

  • Membership at Ultimate Padel is optional.
  • Non-members are welcome to use the club and book courts at the applicable non-member rate.
  • Memberships provide access to additional benefits which may include:
    • Discounted court rates
    • Advanced booking windows
    • Discounts or benefits on selected activities
    • Other benefits communicated to members from time to time
  • The specific benefits associated with each membership will be displayed at the time of purchase.
  • Membership benefits are personal to the member and may not be transferred, sold or shared.
  • Members must make bookings using their own account.

3.1 Monthly Membership

  • Monthly membership has a minimum initial term of three months.
  • After the initial three-month minimum term, members may cancel their membership at any time.
  • When a monthly membership is cancelled, the membership will remain active until the end of the current paid membership period and will then lapse without renewing for the following month.
  • Cancelling a monthly membership does not result in a refund of any unused portion of the current membership period.

3.2 Annual / Founders Membership

  • Annual / Founders Membership is valid for the membership term stated at the time of purchase.
  • Members may cancel their membership at any time during the term; however, cancellation does not result in a refund of any unused portion of the membership.
  • The membership will remain active until the end of the existing membership term and will not automatically renew for a further term.

3.3 Membership renewals

  • Where a membership is set up for automatic renewal, the applicable renewal payment will be taken in accordance with the membership terms displayed at the time of purchase.
  • Members are responsible for cancelling their membership before the relevant renewal date if they do not wish to continue.

3.4 Membership changes

  • Ultimate Padel reserves the right to change membership benefits, pricing or membership structures from time to time.
  • Where a change materially affects an existing membership, we will provide reasonable notice where appropriate.

4. Coaching, Leagues, Tournaments and Social Activities

  • Ultimate Padel may provide a range of organised activities, including coaching, leagues, tournaments, social events, mix-ins and other activities.
  • Places on organised activities are subject to availability and are only confirmed once the booking has been successfully completed.
  • Participants must follow reasonable instructions given by coaches, event organisers and Ultimate Padel staff.
  • Ultimate Padel may make reasonable changes to activities, including changes to coaches, formats, timings or arrangements where necessary.
  • The 48-hour cancellation policy applies to these activities unless specific alternative terms are stated at the time of booking.

5. Court Rules and Safety

The following rules apply to all players using Ultimate Padel courts.

5.1 Appropriate footwear

Players must wear suitable non-marking padel or indoor sports footwear.

The following are not permitted on court:

  • Outdoor shoes
  • Shoes with marking soles
  • Footwear unsuitable for the court surface
  • Any footwear which Ultimate Padel staff reasonably consider unsafe or likely to damage the court

Players arriving with unsuitable footwear will not be permitted to play and will not normally be entitled to a refund.

5.2 Racket wrist straps

  • Racket wrist straps must be worn at all times while playing.
  • Players must ensure that their racket has a properly functioning wrist strap before entering the court.
  • If a racket does not have a working wrist strap, the player will be required to leave the court until a suitable racket is available.
  • Where a player is required to leave the court because they do not have a suitable wrist strap, no refund will be provided.
  • This rule applies to both personal rackets and hired rackets.

5.3 Food and drink

  • Food and drink are not permitted on the courts.
  • Customers may consume food and drink in the designated bar, café and other permitted areas.
  • Glass containers and any other items prohibited by club signage must not be taken onto the courts.

5.4 Court equipment

Players must use the courts, glass, fencing, nets, gates and other equipment responsibly.

Players must not:

  • Climb on the glass or fencing
  • Intentionally hit the glass, fencing or other structures with excessive force
  • Hang from or misuse the net
  • Move or interfere with court equipment without permission
  • Deliberately damage club property

6. Hire Rackets and Equipment

  • Ultimate Padel may offer rackets and other equipment for hire.
  • Customers hiring equipment are responsible for taking reasonable care of it while it is in their possession.
  • Hire equipment must be returned promptly after use and in substantially the same condition in which it was provided, allowing for reasonable wear and tear.
  • Where equipment is damaged, lost or broken as a result of misuse, negligence or intentional action, Ultimate Padel reserves the right to charge the person responsible for the reasonable cost of repair or replacement.
  • Customers should report any pre-existing damage to hired equipment to a member of staff before use.

7. Damage to Club Property

Customers are responsible for taking reasonable care of Ultimate Padel's facilities and equipment.

This includes, but is not limited to:

  • Padel courts
  • Glass panels
  • Fencing
  • Nets
  • Doors and gates
  • Rackets and other hire equipment
  • Furniture
  • Café and bar equipment
  • Retail products and other club property

Where damage is caused by a customer's deliberate act, misuse or negligence, Ultimate Padel reserves the right to recover the reasonable cost of repair or replacement from the person responsible.

8. Personal Belongings

  • Customers are responsible for their own personal belongings while visiting Ultimate Padel.
  • Ultimate Padel accepts no responsibility for loss, theft or damage to personal belongings, except where liability cannot legally be excluded or limited.
  • Customers are advised not to leave valuable items unattended and should use any lockers or storage facilities provided appropriately.

9. Children and Under-18s

  • Under-18s are permitted to use Ultimate Padel subject to any applicable age, activity and supervision requirements.
  • Parents, guardians or responsible adults are responsible for ensuring that children and young people in their care comply with these Terms & Conditions and any reasonable instructions given by Ultimate Padel staff.
  • Certain activities may have additional age or supervision requirements, which will be communicated at the time of booking.

10. Club Conduct

Ultimate Padel aims to provide a welcoming, safe and enjoyable environment for everyone.

  • All customers are expected to treat other players, staff, coaches and visitors with respect.
  • The following behaviour will not be tolerated:
    • Threatening or intimidating behaviour
    • Physical aggression
    • Abusive or offensive behaviour towards staff or other customers
    • Discriminatory or harassing behaviour
    • Deliberate damage to property
    • Behaviour which creates a safety risk
    • Any other behaviour which Ultimate Padel reasonably considers inappropriate
  • Ultimate Padel reserves the right to ask a person to leave the premises where their behaviour presents a safety, security or operational concern.
  • Serious or repeated breaches may result in the suspension or termination of a membership or restriction on future bookings.

11. Bar, Café and Retail

  • Ultimate Padel operates a bar, café and retail area.
  • Customers must comply with any additional terms, age restrictions and rules applying to these areas.
  • Retail purchases are subject to the applicable purchase terms displayed at the time of sale.
  • Food and drink purchased from the café or bar must be consumed only in designated areas and must not be taken onto the padel courts.

12. Health and Safety

  • Padel and other activities provided at Ultimate Padel are physical activities and may involve a risk of injury.
  • Customers should only participate in activities which they consider themselves physically capable of undertaking.
  • Customers must follow all reasonable health and safety instructions provided by Ultimate Padel staff, coaches and activity organisers.
  • Any accident, injury, damage or safety concern should be reported to a member of staff as soon as reasonably possible.
  • Ultimate Padel reserves the right to prevent or stop participation where we reasonably believe that continuing to participate would create a safety risk to the customer or others.

13. Accounts and the Booking App

  • Customers may be required to create an account to make bookings, purchase memberships or access certain Ultimate Padel services.
  • Customers are responsible for ensuring that their account information is accurate and up to date.
  • Customers must keep their login details secure and must not allow another person to use their account in a way that results in misuse of membership benefits or booking privileges.
  • Ultimate Padel reserves the right to suspend or restrict an account where there is evidence of fraudulent activity, misuse or a breach of these Terms & Conditions.

14. Prices and Payments

  • All prices are displayed in the Ultimate Padel booking app, on our website or otherwise communicated before purchase.
  • Prices may differ depending on membership status, booking type, activity, time or other applicable conditions.
  • Ultimate Padel reserves the right to change its prices. The applicable price will be displayed before a customer completes a purchase or booking.
  • Customers are responsible for ensuring that payment details are valid and that sufficient funds are available for any payments due.

15. Promotions and Discounts

  • Ultimate Padel may offer promotional prices, discounts or other incentives from time to time.
  • Unless otherwise stated, promotions cannot be combined with other offers and may be subject to additional terms.
  • Membership discounts and benefits are personal to the relevant member and may not be transferred or shared.

16. Photography, Video and CCTV

  • CCTV may operate at Ultimate Padel for safety, security and operational purposes.
  • Photography and video recording may also take place at the club in connection with events, competitions, coaching, marketing or social media.
  • Where appropriate, notices or specific consent arrangements will be provided.
  • Customers who have concerns about photography or filming should speak to a member of staff.

17. Privacy and Personal Data

Ultimate Padel collects and processes personal information in accordance with applicable data protection legislation.

Personal information may be used to:

  • Manage customer accounts
  • Process bookings and payments
  • Administer memberships
  • Communicate with customers
  • Provide coaching and activities
  • Operate and improve the club
  • Meet legal and regulatory obligations

18. Liability

  • Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.
  • Subject to the above, Ultimate Padel is not responsible for losses which are not reasonably foreseeable or for losses arising from circumstances outside our reasonable control.
  • Customers are responsible for taking reasonable care of themselves and their belongings while using the club.
  • Nothing in these Terms & Conditions affects a customer's statutory rights.

19. Circumstances Outside Our Control

Ultimate Padel will not be responsible for failure or delay in providing services where this is caused by circumstances outside our reasonable control.

This may include, for example:

  • Power failure
  • Significant equipment or facility failure
  • Fire or flooding
  • Extreme weather
  • Government restrictions
  • Industrial action
  • Other circumstances beyond our reasonable control

Where reasonably possible, we will notify affected customers and provide an appropriate refund, credit or alternative arrangement where applicable.

20. Suspension or Termination

Ultimate Padel reserves the right to suspend or terminate a customer's account or membership, or restrict future bookings, where the customer:

  • Seriously or repeatedly breaches these Terms & Conditions
  • Behaves abusively, aggressively or threateningly
  • Deliberately damages club property
  • Misuses membership or booking privileges
  • Engages in fraudulent activity
  • Fails to make required payments
  • Creates a serious safety or security concern

Where appropriate and reasonably practicable, Ultimate Padel will provide the customer with an explanation of the reason for the suspension or termination.

21. Changes to These Terms & Conditions

  • Ultimate Padel may update these Terms & Conditions from time to time to reflect changes to our services, facilities, membership arrangements or legal requirements.
  • The latest version will be made available through our website or booking app.
  • Where changes materially affect existing customers or members, we will provide reasonable notice where appropriate.

22. Complaints

  • We want everyone to have a positive experience at Ultimate Padel.
  • If you have a complaint or concern, please contact a member of the Ultimate Padel team in the first instance.
  • We will aim to understand the issue and resolve complaints fairly and promptly.

23. Governing Law

  • These Terms & Conditions are governed by the laws of England and Wales.
  • Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to any rights a consumer may have under applicable law.
